Updates: COVID-19 Impacts on IEEE VIS Student Volunteers

Update: June 23, 2020

IEEE VIS 2020 will be held in a virtual forum using a video conferencing platform. To the date, we decided to postpone the opening date of SV applications to August 1st, 2020. We will release more details in July, including changes to SV duties, hours, benefits, and selection processes. If you are interested in volunteering this year, please check this page frequently. We look forward to your participation.

2020 VIS SV Chairs

Each year student volunteers provide essential support to the IEEE VIS Conference. The conference depends on student volunteers to staff the various conference events and special purpose conference rooms. Their enthusiastic participation enhances the conference experience for all the attendees.

Student Volunteers benefit by observing first-hand the latest advances in visualization, hearing and meeting world-class as well as next-generation visualization professionals from around the world, and building a network of research colleagues.

The Student Volunteer Program is looking for reliable, hard working and enthusiastic student volunteers to help us create a great experience and a premier conference.

Application System

The SV application system will be open from August 1, 2020 to August 31, 2020. We will release the updated criteria as soon as possible.

Applicants must be enrolled as full- or part-time undergraduate or graduate students during the conference. We may request proof of enrollment be provided. Post-Docs will not be considered.

Student Volunteer Duties

The Tasks Description link provides a description of common student volunteer tasks. Requests to perform certain tasks are fulfilled on a first-come, first-served basis, with limits to the number of hours any volunteer may devote to certain types of tasks. Volunteers will be notified when the task request system will open.

Volunteers will work approximately 22 hours during the conference. Some volunteers have found this difficult to manage at conferences in which they also have to present while others have appreciated have the student volunteer office nearby to stop in and work on their slides.

Volunteer Benefits

In exchange for approximately 22 hours of work, student volunteers will receive many benefits:

  • Discounted IEEE VIS registration (approximately 200 - 220 USD).
  • Tickets to receptions.
  • A volunteer Thank-You Party.
  • A majority of your accommodation costs at a student volunteers hotel selected by the conference committee.
  • A fabulous SV t-shirt as a memento.

Conference Registration

The registration period for student volunteers will be held one or two weeks after the notification of acceptance. A fee of approximately 200 - 220 USD is expected to be charged at the moment of registration. The actual costs associated with hotel arrangements will be calculated at the end of the conference. Though these costs are subsidized, those staying in the volunteer block may need to settle a portion.

Student Volunteer's Hotel

The student volunteer's hotel is usually selected by the conference committee and it is located a few blocks from the conference venue. Student volunteers are free to make different accommodation arrangements. However, the student volunteer's hotel generally offers a significant discount from the standard hotel rates.
